Who we are
PPM Services Group Ltd, trading as PPM Services ("PPM Services", "we", "us"), is the data controller for the personal information described in this policy. We are registered in England and Wales, company number 17276366, and our registered office is 64 Swan Street, Spalding, Lincolnshire PE11 1BT.

What we collect
- Your name, so we know who we are dealing with.
- Addresses, so we can visit properties to carry out the work you ask for.
- Contact details such as phone numbers and email addresses, so we can get in touch with you.
- Details about the job, such as the pest or problem, site reports, photos and records of treatments.
- Payment and invoicing records for work we carry out.
- Signatures, when you sign a service agreement or accept a quote online, with the date, time and the internet (IP) address used.
Contract clients also have accounts in our client portal. The portal privacy page explains what it keeps.
How we use it
We only use your information to respond to your enquiry, provide the services you ask for, keep records of the work we do, invoice you and meet our legal obligations. We only ask for information we need. We do not use your information for marketing, and we never sell it. We only use a photo from a job in our marketing if you have agreed, and never one that shows who you are or where you live.
Our lawful bases under the UK GDPR are:
- Contract: to quote for and carry out work you have asked for.
- Legal obligation: for example keeping financial records and records of pesticide use.
- Legitimate interests: for example keeping records of past jobs so we can help if a seasonal problem returns.
Who we share it with
We only share your information where we need to in order to do the job or where the law requires it. This may include subcontractors working on your job, our accountants, our insurers, and authorities where we are legally required to. Anyone we share information with must keep it secure and use it only for that purpose.
We also use these service providers, who handle information only on our instructions:
- Cloudflare hosts this website and our client portal, including its records and files.
- Resend sends the emails from our portal, such as booking confirmations, reports and quotes.
- Web3Forms delivers enquiries sent through this website to our inbox.
- Xero, our accounting software, holds invoicing details.
- Anthropic helps us tidy up the wording of technicians' report notes. Only the note text and the type of pest or site are sent, not your name, address or contact details, and it is not used to train AI.
Some of these providers are based in the United States. Where your information is handled outside the UK, it is protected by safeguards approved under UK law.
How long we keep it
We keep enquiry and job records for two years, because many pest problems are seasonal and you may want us to help again the following year. Invoices and financial records are kept for six years, as required by law. After that, information is securely deleted or destroyed.
How we keep it secure
Electronic records are held on secure, encrypted systems. Paper records are kept in a locked office. We have procedures in place to prevent unauthorised access, loss or damage.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted where we no longer need it, to object to or restrict how we use it, and to have it transferred to another organisation. There is usually no charge. To make a request, contact us using the details above.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk (opens in a new tab) or on 0303 123 1113.
Our website
This website does not use advertising or tracking cookies, and its fonts and images are served from our own website. If you send an enquiry through our website form, the details you enter are sent to us by email and saved in our job system, so we can call you back.
Our website may link to other websites. We are not responsible for their content or privacy practices.

We may update this policy from time to time. The latest version will always be on this page.
